Advertising Traffic / Marketing Communications Coordinator
The Opportunity
Healthcare Communications Group (“HCG”), located in El Segundo, California, is a leading pharmaceutical clinical trials consulting and communications organization. HCG assists global pharmaceutical companies in more efficiently recruiting patients for their FDA-mandated clinical studies. HCG utilizes economic/feasibility analysis as well as innovative television, radio, print and community outreach to drive its global subject enrollment campaigns. Accelerating these clinical trials allows life-changing medications to be approved and available to the public more quickly. The Advertising Traffic / Marketing Communications Coordinator facilitates timely and efficient completion of US and Global advertising and print collateral and video distribution projects. The Traffic Coordinator is responsible for maintaining the production schedule, so the graphic design, project management, print production and sales departments know the status of each job.
Responsibilities
Responsibilities include, but are not limited to:
- Initiates overall Advertising Traffic systems
- Schedules all marketing communications projects for the agency
- Opens all jobs, assigns a step-by-step completion plan and moves the work through all agency departments
- Reviews and posts status on all active Marketing Communications projects daily
- Manages workflow within the agency and takes a proactive approach to expediting circulation
- Adjusts reports and manages workflow to reflect changes in timing or scheduling
- Maintains digital and physical archives of all projects for future reference
- Assists in writing, developing and editing proposals, presentations and other sales and marketing collateral
- Interacts with Creative Director, Art Director, Media Buyers, Project Managers, Print Production Manager and, occasionally, clients.
- Obtains and coordinates Post Logs, Tear Sheets, Call Center and Web Site data
Qualifications
- 3+ years traffic experience within a high volume advertising or communications agency, graphic design firm, or internal corporate communications department
- Bachelor’s degree
- Detailed-oriented, proactive and organized, with the ability to multi-task, traffic and re-prioritize projects
- Understands deadlines and works with a sense of urgency
- Excellent customer service and communications skills
- Must be a confident, self-directed team player with strong relationship building skills
- Must have strong proofing and editing skills
- Strong knowledge of creative process including design, copy and print production
- Proficient in MS Office: Word, PowerPoint, Access and Excel
- Working knowledge of Adobe Creative Suite programs -- especially InDesign
